Guide on Index Preparation

 

Items which need to be indexed

  • Introduction/preface/foreword as normally authors provide definitions of key words or key items that are discussed in this part.
  • Titles/subtitles in the text including the illustrations.
  • Contents of text: All explanations, descriptions which involve definition, processes, steps and details need to be indexed.
  • Proper nouns: Names of individuals discussed (but not names of individuals cited or in the author date citation).
  • Names of people, names of places including names of countries, states and districts as well as names of roads and names of villages discussed and described.
  • Illustrations: Text, tables, charts, graphs, maps, sketches and images with captions and explanations.
  • All back matter (references, glossary, appendices).
  • Endnotes with contents, i.e. information or explanation on a matter, personality or event.

Items which do not need to be indexed

  • All preliminary matters, title page, copyright page, contents, list of tables, charts and abbreviations.
  • Names of people, places including names of countries, states and districts as well as names of roads and villages that are mentioned only in passing.
  • Notes/endnotes with no descriptions.
